Until now, the employer posting workers to the Czech Republic notified the arrival of employees using a dedicated form which had to be sent to the e-mail address of the Czech State Labour Inspecorate. As of 1 July 2024, the way of notifying a departure to the Czech Republic has changed. From the date indicated, declaration shall be made via a web portal.

1. Web portal

Currently, the notification of the posting of workers to the Czech Republic is made via the web portal: https://www.mpsv.cz/app/suip-vysilani-zamestnancu

The portal is available in the following languages: Czech, German, English and Polish.

2. Creation of the user account

In order to use the portal, a user acount shall be created. To do this, it’s necessary to select the “Create an account” link and follow the instructions.

The creation of an account requires providing the VAT number of its user. Indeed, the portal allows to search the company name using the VAT number and automatically fill it in. If the applicant doesn’t choose this option, the data must be filled in manually. In addition, it’s necessary to indicate the company’s country of origin and head office address.

When creating an account, you also provide an e-mail address which will be necessary to log in to the profile, as well as a password.

If all the data provided is correct, the account will be created. However, the use of the account should be preceded by its activation. To do this, it’s necessary to log in to the account and enter the activation code that was sent to the e-mail address provided when creating the account.

3. Notification of posting

Before submitting a notification, it’s necessary to create a “database” of posted workers and indicate the details of the recipients of services. For this purpose, you should have:

  • data of posted workers, i.e. first name, surname, nationality, date of birth, type
  • and number of identity document (ID card or passport);
  • a document confirming the existence of employment and its translation into Czech (e.g. international secondment addendum and its translation into Czech);
  • data of the entity to which posted workers are directed:
    • if the recipient of services is a legal person with the head office in the Czech Republic, it’s sufficient to provide the company number – in such a case, the company name and its address should load automatically after clicking the “search” button;
    • if the recipient of services is a natural person, it’s necessary to provide his/her first name and surname, as well as the address of the service recipient.

In order to make a notification of a departure, it’s necessary to click on the ″Create posting″. Data concerning the posting employer fills in automatically. Then, from the previously created list of workers, select the employees who will be seconded in the framework of a given departure, as well as add the start and end date of the posting, the type of secondment and of activity or service. The next step consists in selecting the recipient of the service. In the event that the address of the performance of the service is different from the head office of the service recipient, enter the appropriate address.

After completing all the data, it’s necessary to accept the notification. Acceptance means automatic sending of the declaration to the Czech State Labour Inspectorate.

The posting employer will receive the confirmation of the notification to the e-mail address previously provided.

4. Editing the notification

The posting notification can be edited (in particular, it’s possible to change the posting period). The amended notification is automatically sent to the State labour inspectorate. On the other hand, the declarant should receive the confirmation of the modification by e-mail.

After updating, the notification changes its status in the list of completed declarations from “Sent” to “Changed”.
